How to reduce appointment no-shows
No-shows fall when booking is qualified, expectations are clear, reminders are timely, and rescheduling is easier than disappearing.

Qualify before the calendar
Unqualified bookings inflate no-show rates. Prospects who were never serious, outside area, or unclear on purpose skip meetings they should not have booked.
Gate calendar access with fit questions or a brief call. The extra step reduces diary noise and improves show rate on what remains.
Set expectations in qualification: who will attend, what will be covered, and whether a decision maker should join.
Confirmation sequence
Send immediate confirmation with date, time, timezone, location or video link, and preparation notes. Ambiguity causes missed meetings.
Email and SMS reminders at sensible intervals work for most audiences when consent allows. A reminder two days before plus morning-of suits many models.
Include contact details for rescheduling. Prospects who hit a wall trying to change times often no-show instead.
Frictionless rescheduling
Make rescheduling easier than silent no-show. Self-serve links or a single reply to rebook preserve the opportunity.
Track reschedule rate separately from no-show rate. High reschedules may indicate timing friction rather than disinterest.
Do not punish reschedules with aggressive tone. Flexibility builds trust for the meeting that actually happens.
Recover no-shows
Automated rebooking attempts within a defined window after missed appointments catch prospects while intent may still be warm.
Human follow-up suits high-value meetings. A brief call or message asking whether timing failed often reopens the diary.
Update customer-record status and reason so reporting distinguishes no-show from cancelled and rescheduled.
Analyse and improve
Review show rate by source, booker, service line, and reminder path. Weak sources may need tighter qualification, not more reminders.
Sales feedback on meeting quality closes the loop. Low show rate combined with low close rate may mean the wrong meetings are being booked.
Small improvements in show rate compound across consultant time and marketing spend driving bookings.
